From export
How to make a vendor statement with running balance from a QuickBooks Online export
What a vendor actually needs at month-end is every bill, credit note and payment in date order with a running balance and a stated closing figure — the same thing a proper supplier statement contains. In QuickBooks Online, a common source of that raw material is the Transaction List by Vendor report (or a similar payable detail export). Below are three practical ways to finish the sendable layout.
Useful QBO reports (and what they are for)
| Report | What it shows | As a sendable statement |
|---|---|---|
| Transaction List by Vendor | Every transaction for one vendor over a period | Good raw material; still needs running balance + layout |
| Aged Payables | Unpaid bills bucketed by age | Cash planning — different question from a shared history |
| Vendor Balance Summary | Current balance per vendor | Snapshot only — no chronological narrative |
Aged Payables and a chronological statement answer different questions; see Aged Payables vs a supplier statement before you reconcile.
Path A: Export + spreadsheet
The path many bookkeepers already run:
- Run Transaction List by Vendor for the period, export to Excel.
- Sort by date; separate bills vs payments into debit/credit columns.
- Add a Balance column with a running formula; verify the last row equals opening + bills − payments ± credits.
- Format it until it looks like something you'd put your letterhead on.
It stays on your machine. Effort scales with vendor count and how often you rebuild the layout — fine when you only need this rarely.
Path B: Cloud document tools
Some cloud products handle supplier statements as part of document processing: upload the statement and often the ledger, match on their servers, subscribe monthly. That fits practices that want inbox automation. Teams that must keep client files on-device usually prefer a local path — see the local vs cloud comparison for a neutral split.
Path C: Local generator from the export
Keep the CSV/XLSX you already exported. Drop it into Statemint — parsed in the browser tab, no upload, no API connection to your QuickBooks company, no OCR:
- Confirm the column mapping once (Date, Type, Reference, Debit, Credit). The same export shape is remembered for next month.
- Print a statement with running balance; Statemint asserts
closing = opening + Σdebits − Σcreditsin integer cents. - Optionally diff against the statement the vendor sent you.
Everything up to printing is free to try with your own files — the $29 early bird license ($39 regular) only unlocks printing and PDF export. No credits, no minimums, nothing that expires.
For the wider month-end order (cut-off → vendor statements → AP subledger to GL), see our month-end AP checklist and Sage’s Accounts Payable Reconciliation Guide.
How to choose
- Occasional, one vendor: a spreadsheet is usually enough.
- Already using a cloud capture / reconcile stack: keep using what you have.
- Recurring statements, or files must stay on-device: a local export path such as Statemint.
