How to make a supplier statement with running balance from a Xero CSV export

Month-end often means the same loop: rebuild a chronological supplier statement in Excel so you have something sendable with a running balance — then check it against the PDF or CSV the supplier emailed you. If your books live in Xero, the raw material is already there as an export. This guide walks that path without uploading ledgers.

1. Export the payable detail

In Xero, a practical starting point is Business → Purchases → Bills (and the related payments export when you need both sides). Export as CSV or XLSX. Aged Payables summaries are great for cash planning; for a running-balance statement you usually want transaction / bill detail so dates, references and payments are present.

Typical column labels (Contact, Date, Reference, Total, and so on) are summarised in our export-column tip sheet — always confirm against your own header row.

2. Paths that work from the same export

Spreadsheet

Sort by date, add a running-balance formula, format, print. It stays on your machine. Time and risk scale with how many suppliers you do and how familiar you are with the file — mis-sorts, dropped rows, and floating-point drift are the usual manual gotchas to watch for.

Connected reporting apps

Some apps connect via API and produce supplier-facing documents. That path usually means OAuth per client org, data flowing through a third party, and a recurring subscription. It fits teams that already want that automation elsewhere in their stack.

Local generator from the export

Keep the CSV/XLSX on your machine. Drop it into Statemint: columns are mapped (and remembered by header signature), amounts are computed in integer cents, and each statement asserts closing = opening + Σdebits − Σcredits before you print a running-balance PDF — with an optional local difference check against the supplier's file. No API, no OCR, no upload; one-time purchase ($29 early bird, $39 regular).

Flow: export bills (and payments), open Statemint, confirm columns, pick suppliers, print. One page per supplier, header repeated, your logo at the top.

Bookkeepers who want a chronological contact ledger with running balance have also discussed that need on Xero Product Ideas — useful as demand context, not as a claim about any product roadmap.

How to choose

Occasional statements → a spreadsheet is usually enough. If you already run a connected reporting stack → keep using it. If you want sendable statements plus a private local diff from the same export → a local browser tool such as Statemint is built for that path.
