How it works

A supplier statement lists bills, credits and payments with a running balance. Month-end is matching that file against your export — then sending a clear statement back. Statemint does both jobs locally in one pass.

Primary

Difference report

Their statement vs your books — matched by reference, then amount and date. Leftovers: on their side only, in your books only, or amounts that don’t match.

Then

Running-balance PDF

From the same parse: logo, running balance, one page per supplier. Closing = opening + Σ debit − Σ credit (integer cents).

1

Drop both sides

Prefer CSV / XLSX on both sides; text-based supplier PDF is best-effort. Parsed in the browser — nothing uploaded.

2

Line-by-line difference

Review matched vs unmatched lines. Labels only what you can verify — not guessed causes.

3

Print & send

Print a sendable statement when the diff is clear. Preview is free; watermark-free print is the one-time license.

Privacy and pricing once: nothing leaves the browser; unlimited suppliers/clients; $29 early bird unlocks printing (regular $39).

Frequently asked questions

How is this different from Aged Payables?

Aged Payables answers what you owe and when. Month-end still needs a line-by-line check against the statement the supplier emailed you — then a chronological running-balance PDF to send back. See supplier statement reconciliation and Aged Payables vs a supplier statement.

Is my financial data uploaded anywhere?

No. Statemint runs entirely in your browser; files are parsed locally and the flow works offline.

Are you affiliated with Xero or QuickBooks?

No. Statemint is an independent tool that reads the CSV / XLSX / text-based PDF files you already export. Xero and QuickBooks are trademarks of their respective owners; Statemint is not affiliated with, endorsed by, or sponsored by them.

Which file formats are supported?

CSV and XLSX exports map most reliably. Text-based supplier PDFs are best-effort — after import, verify the Date column on Map columns. Scanned or photographed PDFs are not supported. Columns are auto-detected when possible and the mapping is remembered.

How much does it cost?

Preview is free and fully functional. Watermark-free printing is a one-time purchase: $29 during early-bird launch, $39 regular — no subscription.

Can I use it for multiple clients?

Yes — the license covers one user with unlimited suppliers, clients and files, and there is no per-client charge. Because nothing is uploaded and no ledger is ever connected, there is nothing to set up or approve for each client.

What if it doesn't work with my export?

Any tabular CSV or XLSX can be mapped by hand, which is why unusual exports are still supported. If it does not do what you need, run your own files through it first — import, column mapping, the difference report and the finished statement are all free on screen. Only printing and PDF export need a license.

How long does it take?

Once a format's columns are mapped, the mapping is remembered, so repeat runs are mostly reviewing the difference report and printing. Time depends on how many lines differ.

How do opening balance and period work?

Opening is the amount brought forward before the first line in the period — set per supplier when printing. Period start/end filter which ledger lines appear (inclusive). Closing always equals opening + Σ debit − Σ credit.

Can I export my column mapping?

Yes. On the map-columns step, export a small JSON preset (mapping + date format only — no ledger rows). Import it on another machine with the same header shape.

What happens if I clear site data?

Saved column mappings and license state live in this browser's IndexedDB. Clearing site data for this origin removes them — export a mapping preset first if you want to keep the setup.

US vs UK dates — which should I pick?

03/04 can mean 3 April or March 4. Each side has its own date format — pick explicitly; we never guess. The mapping preview shows plain English dates (e.g. 3 April 2026) so mistakes are obvious before you print.

Using an export we do not auto-detect yet? Email an anonymized header row to [email protected] — column names only help us support your format. No ledger upload, ever.
